The unique beauty of The Chapel captures the feel of “Little House on the Prairie” coupled with the Rustic Elegance in true Rough Creek tradition. We hosted our first wedding in January of 2006...a celebration of love and beauty. The Chapel overlooks the brilliant Texas Hill Country accommodating up to 250ppl. It’s complete with wood floors, great acoustics, breathtaking view and a real “Ringing” Bell. Look out when taking your wedding pictures, the deer may join in!

- Providing invaluable support and information when matching the vendor with your specific wedding needs and establishing a level of expectation.
- Storage, movement and placement of furniture (including rentals)
- Managing the various vendors. (i.e. florist, ceremony music, musicians for reception, photographers, videographers, etc)
- Customizing billing throughout the event to enable budget planning.
- Taking individual guestroom reservations, credit card information and coordinating any resort activities requested.
- Coordination of babysitting or kids’ parties if applicable.
Consultation
Consultation with Brenda Weaver, CWC, consists of site visits, telephone calls, conversations and/or emails directly associated with the wedding celebration, Wedding Tasting (if applicable), Banquet Event Orders, Diagrams and Menu Preparation and meetings or discussions with various vendors to detail their association with the event.

We have a total of 45 guestrooms. Included in that total we have seven suites and two guesthouses. If you maximize capacity of each sleeping room you can accommodate 130 adults at Rough Creek Lodge. We do offer overflow suggestions.

Rollaways: If you should decide to add rollaways, you may again further maximize your sleeping capacity. You may add one rollaway per standard room and two per suite. This set up would be very cozy and is not recommended for everyone.

The Rooming List, How do I coordinate?
As your RSVPs come in you will begin to have a good feel for how many people will be attending the wedding. Sit down and make a list of your “Must Have” people to stay at RCL. This is typically the bride, groom, parents, family and wedding party first. Running a close second you will have close friends that you will want to stay at RCL. Many times you will find when doing this you have filled all 45 guestrooms. If this is the case you can simply place the overflow selections and phone numbers on the correspondence you will be sending to each guest.
If you have filled out the “Must Have” people and have a number of rooms remaining you can then ask the Wedding Coordinator to begin a waiting list. As the waiting list fills in you will begin to choose the guest(s) you would prefer to stay at Rough Creek Lodge. At this point the Wedding Consultant will contact that guest and make the room arrangement.
Billing, how do I coordinate the guestroom billing? What do most people do?
Typically, you will have a number of rooms the wedding party will pay for directly. In fact, the groom’s family may ask to pick up payment for a number of rooms as will the bride’s family.
Remaining rooms you may ask the guest to pay.
Some of your guests may feel it’s necessary to pay something, however you would really like to lower the cost of his/her room. In this case you can “subsidize” the room. In other words, if you only want that guest to pay only $100…. then, that will be the cost the guest will see and the remaining room package balance will be placed on your master bill.
Every wedding is different, but please know that it is not uncommon or unethical to ask your guests to pay for the guestroom.

Photo Shoots arranged with our Certified Wedding Consultant are by appointment only. Charges based on location, day of the week, time of day, amount of time requested for the shoot and location.
Wedding Rentals
Our Certified Wedding Consultant will coordinate event rentals. Rental cost is based on the vendor’s order amount, applicable tax plus a 20% RCL coordination fee.
Rough Creek Lodge Arranged Vendors
These are vendors contracted by RCL on behalf of the wedding party as per your directive. The wedding party hosting the event will enter into an agreement with RCL via Banquet Event Order to confirm arrangements. Charges are based on the vendor’s net balance due, applicable tax plus a 20% RCL coordination fee.

Food & Beverage requests that are not in inventory may require individual attention. Usually this is a specific wine or liquor; the request may be accommodated with an additional charge.

Guestrooms
Guestroom charges are based on season, day of the week, number of nights and total number of guestrooms reserved. Rack rate for our standard guestrooms to suites vary from $325. to $1,250. Rack rate for our guesthouses vary from $1,500. to $2,500. When packaging up guestroom packages for weddings breakfast for two is included in the cost. Final pricing is considerate of the number of guestrooms, whether it is a one, two or three night stay, food and beverage projected expense and activities booked.

Time Line from Site Visit To Wedding
This pertains to action items in regard to RCL:
- Phone or email contact is made
- Site visit appointment is arranged
- Initial Interview with Wedding Consultant and Show of Property (Q&A)
- This is a “getting to know you” interview and provides you the opportunity to ask questions about logistics, activities, property, etc
- You may also have other venues to visit as well
- If RCL is the venue chosen, the Wedding Consultant will hold your wedding date and begin the contract process based on the scope of your wedding needs
- Generally, this is a time you work closely with the Wedding Consultant to tweak the contract to a point that all parties are comfortable.
- Signature and deposit is required to reserve your wedding.
- Upon signature and deposit we will begin the detailing process for the wedding.
- The detailing process will last quite some time. It will be the time to begin choosing vendors (entertainment, floral, photographer, ceremony music, etc), specify ceremony details and discuss menu.
- Arrange a time for Wedding Tasting (if applicable)
- Day of Tasting…will work on wedding logistics as well
- It will then be time for the Wedding Consultant to work up BEOs (Banquet Event Orders) which is a written communication tool to outline the menu and other wedding specifics. It will also allow for remaining billing to be determined based on the specifics.
- Two-Three weeks prior to the wedding event the remaining estimated balance is due….by this time all diagrams, rentals, food requests, etc. should be finalized. It will be critical that we are all on the same page by this stage of planning.
On the contract:
To ensure food, beverage and event planning a 21 day guarantee is required and the guarantee represents the minimum billing. If the guarantee is not given, the agreed attendance figures will be the guarantee ~ or the actual number of guests attending the event, whichever is greater. Rough Creek Lodge allows for only a 5% food overage based on the final guarantee. Final banquet billing (based on Banquet Event Orders) will be posted to the credit card on file fourteen (14) days prior to the event. If a credit card is not available, another form of payment will be due at this time. Non-payment and/or no response to BEO(s) submitted for signature constitutes cancellation. Cancellation terms apply inclusive of the forfeiture of deposit and, if applicable, liquidated damages.
Please note: Rough Creek Lodge does not order food or finalize event plans until Banquet Event Orders have been signed, approved and final billing has been executed.
